PPM software RFP template with vendor scorecard

A software RFP (request for proposal) sets out what your organisation needs from project and portfolio management software, so every vendor answers the same questions and you can compare them fairly. This free Excel template is a complete example RFP: 63 requirements in 12 categories, plus a weighted scorecard that ranks vendors automatically.

    Frequently asked questions

A good RFP covers your background and objectives, the scope (users, sites, number of projects), functional requirements with priorities, technical and security requirements, the timeline, how vendors should respond and how responses will be evaluated, plus the commercial information you need, such as a multi-year price breakdown. The template includes all of these.

Agree the priorities before you see any vendor, then score each requirement from 0 to 5 based on written answers and demos. Weight the scores by priority, ask two or three people to score independently and compare, and review any gaps on must-have requirements separately rather than relying on the total alone.

An RFI (request for information) gathers general information to build a long list of vendors. An RFP (request for proposal) asks shortlisted vendors for a detailed proposal against your requirements. An RFQ (request for quotation) asks for a price for a scope that is already clearly defined.

Most organisations send the RFP to four to six vendors and invite the best two or three to detailed demos. More than that makes a fair comparison hard to manage.
